Private: Finance Manager Position Available at the Geneva Office

The Women’s International League for Peace and Freedom (WILPF) is a non-governmental organisation established in 1915, working worldwide for peace and security with two international offices in Geneva and in New York City (see www.wilpf.org for more information).

Job Purpose

The Financial Manager’s (FM) primary responsibility is to maintain the financial health of the organisation. She/he maintains the organisation budget, oversees accounting and grants management. The FM follows all accounting compliance and observes all policies and mandated procedures.

Main responsibilities


  1. Develop the annual organisational budget in consultation with the programme and project directors and WILPF NY office;
  2. Administer and review all financial plans and budgets, monitor progress and changes, and produce short-term projections;
  3. Produce accurate and timely quarter financial reports, collate financial reporting materials for all donor segments, and oversee all financial, project/programme and grants accounting;
  4. Prepare reports which summarise and forecast the organisation’s financial position in areas of income and expenses;

Financial strategy and management

  1. Develop and analyse information to assess the current and future financial status of the organisation;
  2. Develop financial management mechanisms that minimize financial risk;
  3. Develop and implement improvements to the reporting system, accounting practices and internal processes and to maintain the financial health of the organisation;
  4. Support programme/project managers on all financial aspects related to Grants management and on the implementation, planning & forecasting, monitoring and reporting;
  5. Manage organisational cash flow and forecasting;
  6. Administer the payment process and authorise expenses to provide reasonable control.

Internal Control/Auditing

  1. Maintain an internal control environment. Improve the overall financial policy, procedure manual, for adequate financial controls to mitigate the risks;
  2. Implement the internal control. Ensure that applicable laws, regulations and donor requirements or restrictions are complied with; manage and guide employees to ensure appropriate financial processes are being used;
  3. Financial review and assessment regarding funds forwarded to partners;
  4. Review outgoing contracts in collaboration with the International Office Manager;
  5. Coordinate and lead the annual audit process liaising with the auditor;
  6. Coordinate and lead project and grant audits liaising with the auditor.


  1. Maintain records of all financial transactions;
  2. Oversee bookkeeping for the Geneva office transactions;
  3. Oversee monthly reconciliations and accounts reconciliations;
  4. Manage fixed assets for the purposes of financial accounting and safeguard through the maintenance of the Assets Register;
  5. Participate in the preparation of yearly financial statements, work in close collaboration with CPA firm;
  6. Fulfils relevant taxation obligations of the organisation.


  1. Work with the Standing Finance Committee (member of the SFC), the International Treasurer and WILPF UNO office manager and bookkeeper;
  2. Work with the Risk Management Committee (member of the RMC).
  3. Oversee the preparation of specifications for the accounting system/s for Geneva and New York offices.
  4. Put in place the structure for managing the assets and Liabilities of WILPF.

Interdependences and Reporting

FM reports to the Secretary General.
There is a dual reporting line of the Finance Associate into the FM and International Office Manager.
FM works closely with Director of Global Programs, International Office Manager, UNO Office Manager, program staff, bookkeeper, the International Treasurer and auditor.
Technical skills should include: Bookkeeping system, Swiss law in terms of finances, US law in terms of finances, Interpretation of donor contracts.

Other skills should include: Strong analytical skills; Ability to interpret financial information to programmatic colleagues who do not necessarily have a financial background; Ability to nurture interpersonal relationships; Team player and Ability to set priorities.

Knowledge, Skills and Experience:

  • 5+ years of experience in a similar position
  • Financial Management skills
  • Knowledge of budgeting, accounting, bookkeeping and grants management
  • Knowledge of Swiss GAAP accounting principles
  • Knowledge of Internal control activity
  • Working knowledge of all statutory legislation and regulations
  • Futuristic financial planning & liquidity planning skills
  • Ability to analyse financial data and prepare financial reports, statements and projections

Education and Experience:

  • University degree in finance/accounting, business administration, public administration or equivalent.
  • Demonstrated ability in financial management for an International Organisation.
  • Knowledge/understanding of WILPF ‘s work
  • Fluency in written and spoken English and French


Terms: Full time position
Based in: Geneva, Switzerland
Brut annual salary: starting range 80’000 CHF
Start date: mid-October 2018
